We want this to be your Best Party Ever! This information is here to help make sure we have communicated everything to you and answered any questions you might have.
WHAT ARE MY RESPONSIBILITIES AS THE PARENT OF THE PARTY CHILD?
WHAT WILL THE PARTY DAY SCHEDULE BE LIKE?
HOW CAN WE MAKE THIS A GREAT DAY FOR SPECIAL NEEDS KIDS?
We want to make the day fun for everyone including those with Special Needs. How best to make the day fun can be different for each Special Needs Child. We may schedule extra staff (at no extra charge), or provide our staff with additional directions specific to the Special Child, but we cannot do that unless we are provided with time to plan. Please tell the parents of any Special Child attending the party to contact us at [email protected] ASAP (usually 30 day before) and together we will decide the best way to support their child. Also please review our Special Needs Page.
The best activity for many Special Children, or sometimes younger children, is our Kids Fun Factory, as this is the only activity where their parents can join them on the floor to offer support. If any guest is having difficulty with activities in the Gym, Rock, or Survival Island areas, our staff reserves the right to place the child in the Kids Fun Factory where they will need to be supervised directly by their parent, or the Party Parent, if they are experiencing difficulties. Even in the Kids Fun Factory it is best if we are aware of all Special Children, so we can prepare our KFF staff. All Special requests marked “To Mr. Kehler’s Attention” please.
WHAT ARE THE ACTIVITY REQUIREMENTS AND RESTRICTIONS?
During Gym activities, paid party guests under 36 months, are not permitted in Gym A or B, under 4 years not permitted in Survival Island, and under 5 years not permitted on Top Roping (Rock Climb), but they may play in the Kids Fun Factory as an alternate party activity. The same applies to any paid guest that our staff determines to be displaying behavioral concerns. We do not charge for guests under 12 months in the Kids Fun Factory.
No one over 14 years allowed in the Gym, Rock, or Survival Island Parties. No one over 11 years is permitted in the play activities in the Kids Fun Factory. NO ADULTS/PARENTS IN THE GYM, ROCK, OR SURVIVAL ISLAND AREAS. (Observation areas are generally provided.)
In the Kids Fun Factory (not gym/rock/SI areas) parents of Special Children may request SPECIAL AUTHORIZATION to go into the play activities and play with the kids, so they can be right there to give whatever support is needed. See Manager.
Comfortable play clothes. No skirts or dresses please. Clean, dry socks in the Kids Fun Factory, bare feet in the Gymnastics Area or Rock Climbing. No hats, caps, scarves, or hard hair ties please. Wire rim glasses not permitted in the gym, rock, SI areas. Please no face/body paint.
Please make sure that none of your guests come injured or sick. For safety, no casts, stitches, or braces (dental braces are fine) permitted in the activity areas.
The KGC staff reserve the right to restrict participation based on injury, illness, or behavior, as determined by our staff, per our insurance and safety rules.
CAN I ADD A CAROUSEL BOUNCER TO MY PARTY?
This activity must be an ADD ON to an existing KGC party package (Typically the Kids Fun Factory or the Gym/Kids Fun Factory Combo Packages only) and does not extend the length of the overall party. Subject to availability. Speak to the manager booking your party as an extra deposit is required at the same time as the original deposit.
CAN KEHLER’S HANDLE A LAST MINUTE PARTY BOOKING?
This is not usually easy to do but sometimes we can help, so call and ask for a manager. The earlier you book, the better the selection of times and activities. When we can squeeze in a last minute party, we will do our best to help you, but it does require a bit of extra work on our part. So, there will be a $35 non-refundable late fee paid at the same time as the party deposit, when the deposit is paid less than 15 days prior to the date of the party. This is a separate charge and does not reduce the balance due the day of the party.
THE DO’s & DON’T’s:
These are the answers to most of the questions parents ask and we hope listing the following will answer your questions as well.
No helium tanks, costumed characters, pinatas, entertainers, electrical appliances, coffee pots, stereos, TVs, knives, animals, etc. We will supply you with a free plastic cake cutter if you request one the day of the party. No strollers or high chairs permitted. Guests may not bring outside food or beverages into the building. The Party parents are responsible to ensure that their guests obey all the rules. KGC is not responsible for black outs or other unforeseen events which may interfere with the party. KGC reserves the right to change/close activities, when it deems necessary, with no change in price. KGC may cancel the party entirely, with no refund, should there be a failure of the customer or their guests to obey rules or instructions or if payment is not made immediately when requested. KGC may make changes in schedules or provide a refund and cancel party when there are KGC schedule conflicts. The customer is responsible for their belongings and those of their guests and will hold KGC Inc. and its employees harmless for any personal or economic loss. It is the customer’s responsibility to make sure that all their guests leave with the correct shoes.
SO JUST A FINAL REMINDER:
Please review the Party Pages on the website, and the Party Flyer to assure that you are aware of all KGC policies and activity descriptions/ restrictions. Prices will be as described on the website on the date the party deposit was received. KGC reserves the right to update prices or activity descriptions at any time. Only ONE Free Birthday Child (or Twins) per party please. Deposits are nonrefundable.
The person(s) making the deposit and signing the Party Registration Form are financially responsible for the cost of the party. They are responsible to have carefully read all the party information in the Party Flyer, the confirmation e-mail, and the information on the website. By clicking “I Agree” on the Party Registration Form, the responsible adult shows that they agree to all the terms listed above as well as well as those on the Party Flyer and on the Party web pages. No more than ONE discount/offer per party permitted.

WHAT ARE MY RESPONSIBILITIES AS THE PARENT OF THE PARTY CHILD?
- PARTY REGISTRATION FORM: After you have reserved your party and paid your deposit in person or over the phone (610-359-9999), please go to our website and complete the Party Registration Form. Be careful that everything matches including the date, time, and correct PARTY PACKAGE. Please USE JUST ONE LAST NAME for all your communications, including when making your phone reservation or completing information on the Party Registration Form. We apologize, but using different last names for parents or children can cause problems with your reservation.
- CONFIRMATION E-MAIL: You will receive a Confirmation E-mail within 7 days (usually much sooner). Read it carefully again to make sure that all the details match what you originally reserved including date, time, and Party Package Description. You’ll enjoy the day more if you clearly understand our policies and safety rules before the day of the party. You will also find a link in the e-mail to the Permission Form required by our insurance carrier.
- PLEASE PRINT THE PERMISSION FORMS & mail them to your guests or just send them the link so they can print the forms themselves. They must bring the signed Permission Forms to the party or the child will not participate. Ask them to sign it BEFORE they arrive to avoid delays the day of the party.
- PARTY FOOD: Review the Party Menu on our website. We are often running discounts, so you can get some or all of your food for FREE (depending on the size of your order). Check our website for coupons. We do use a contracted vendor, and deliveries are only permitted from this vendor. You will see the food items we offer through this vendor on our menu. You should schedule your delivery for 45 minutes before the end time of your party.
You are NOT required to buy anything from this vendor so you can bring your own food with you if you prefer, and normally the online coupon will allow you to get a discount on your party, instead of on the food, if that works better for you… and so save on your party costs! Note that we do not permit deliveries of any sort for any items except from our food vendor.
WHAT WILL THE PARTY DAY SCHEDULE BE LIKE?
- THE DAY OF THE PARTY: Arrive no sooner than 15 minutes before your start time. There is really nothing for you to prepare. But please remind all your guests that because of the nature of our activities, everything is run on a tight schedule, and so anyone arriving late will likely miss the activity that was scheduled during the time they were absent. KGC will not be able to rearrange activities or extend party times to accommodate late arrivals. When you arrive, you may bring gifts or the food you wish to serve to your guests into the building and your host will provide a cart to store those items. If you wish to bring refrigerated items, you may bring a small cooler into the building as we do not have refrigeration available.
- RELAX & ENJOY: Watch the kids have the best party ever! Parents may watch from several locations around our facility, so if you are having difficulty seeing from your location, ask someone at the front desk to help you find a better location.
- PARTY BALANCE DUE: Your Party Host will provide you with the bill for the balance due, which normally happens during the activity time for the party, before you are seated. Most customers are very good about coming to the front desk and handing this promptly, however, please be aware that KGC reserves the right to stop the party without refund, if the balance due is not paid when requested.
- OUR STAFF IS THERE FOR YOU: You are responsible to relax, have fun, and communicate your needs to our staff. We train our staff to make sure that everything goes off without a hitch, but if something does come up for some reason, and you are concerned please let your party host know immediately. If you doubt for even a moment that your host is handling everything to your satisfaction, please let a MANAGER at the front desk know immediately. We want to make your day great so please be a good communicator.
Be patient with your host please, they’re playing with the kids until 10 minutes before you sit. Please do not be alarmed if the seating area is not set up before that time, as your host should be busy playing with your children. If you have a great deal of food, or a large party, please be understand your host will do all they can to serve the children quickly. If you’re like most parents, and you are dazzled with your hard-working host, understand that they are always pleased to receive a warm thank you, and maybe even a nice gratuity. - ENJOY THE SEATING TIME: The children will be seated for the last 30 minutes of your party. We provide seating at the party tables based on the number paid guest children that are attending your party. In general, most guests’ parents will just drop off their children, and return at the end of the party. If you have adults staying, we have several areas from which they may watch the activities, but we do not provide seating at the children’s tables for adults. Seating is available in our lobby or the window seats in the balcony for adults while waiting for the children to finish their party.
Let your host know when you are ready to sing the Birthday Song. We do not recommend opening gifts before you arrive at home so as to make sure nothing is lost or misplaced. And please, no alcohol or smoking including e-cigarettes/vapes as this is a children’s facility. Our colored tables require no cloths. - NOTHING FOR YOU TO CLEAN UP: Help us make sure the children are going home with the correct adults and belongings. Your host will remove the wristbands and after everyone is picked up they can help you carry items to your car if you like. We will handle all the party clean up so you get to go home to a clean house and relax. We hope you are pleased with your party, and that you will come to visit with us again soon.
